Job Summary
The role of the Endoscopy access coordinator will provide day-to-day operational management of the reception administration team and ensure there is adequate cover for each reception area and service. The supervisor is expected to coordinate the rota, cover annual leave and off sick duties.
The post holder will support the Service Managers in delivering the Trust’s key performance targets for the Endoscopy Department through effective and flexible use of physical resources. The post holder is expected to ensure that all duties are carried out in timely fashion and to a high professional standard whilst delivering a friendly, patient-centred service.
This role also entails providing support to the pre assessment, and endoscopy administration and clinical staff. The post holder will be expected to utilise designated operational practices within the specified endoscopy reporting systems/ Cerner etc.
It is expected that the post holder is highly computer literate, highly experienced within the hospital administrative setting with knowledge and evidence of medical terminology, educated to a level required to perform the role or equivalent experience.
Main duties of the job
- Liaise with the endoscopy department and pre assessment team to ensure that GA / appointments are booked.
- Actively monitor outcomes post procedures and ensure patients are correctly completed.
- Be responsible for “on-the-floor” activities and available to assist the team when necessary.
- Oversee preparation for the next day admission patient/subject notes retrieval, prepared documents for nursing staff and tracking of patient’s progress within the pre assessment pathway.
- Support the team and uphold departmental and Trust Policies.
- Regularly monitor the wellbeing of team members.
- Be fully versed in all systems used by the team and able to troubleshoot any issues.
- Support the provision of general and basic advice to patient/subject queries and refers clinical-related queries to Nurses/relevant staff.
- Arrange regular meetings to discuss the service needs.
- Regularly communicate with a wide range of stakeholders such as patients, carers, GPs, clinicians, nursing staff, colleagues from different specialties and other professionals on a range of matters. This communication could be verbal, telephonic, MS Teams, written or electronic.
- Communicate in a manner that is consistent and in keeping with Trust policies and procedures ensuring a positive image of the service is always maintained.
- Any other requests to support the needs of the service.
- Oversee booking private patients.
