Job Summary
We are seeking a dedicated and experienced Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong organisational skills, exceptional communication abilities, and a background in administrative tasks. As an Office Manager, you will play a crucial role in ensuring the office runs smoothly and efficiently while supervising staff and managing various office functions.
Duties
- Oversee daily office operations including facilities, supplies, scheduling, and internal communication.
- Maintain and improve office systems, filing structures, and workflow processes.
- Liaise with suppliers, subcontractors, consultants, and clients as needed.
- Prepare and manage invoices, timesheets, and expense claims.
- Ensure legal compliance with health and safety standards within the office.
- Liaise with construction recruitment agencies and manage third-party recruitment contracts.
- Onboard new hires and coordinate induction processes for site and office-based staff.
- Support pre-construction activities such as tender submissions, bid documentation, and contract preparation.
- Manage document control for live construction projects, including drawings, contracts, and change orders.
- Prepare the management report for director to understand the variances with the set targets.
- Coordinate with project main and sub-contractors to ensure deadlines and deliverables are met.
- Act as the first point of contact between the office and external stakeholders including clients, suppliers, consultants, local authorities, and regulatory bodies.
- Represent the company professionally in correspondence and client-facing tasks.
Requirements:
SKILLS REQUIRED
- Excellent organizational and multitasking skills.
- Strong written and verbal communication.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- High attention to detail and problem-solving ability with can do attitude.
- Discretion of confidential information, particularly during recruitment and project negotiations.
Preferred Qualifications
- Degree in Business, HR, Construction Management, or a related field.
- Knowledge of health and safety regulations is advantageous.
